05 / Asset Data & CMMS

Make the asset record useful to the people doing the work.

Connect equipment identifiers, inspection findings, work orders and completion evidence. We help your team resolve data gaps and prepare controlled updates for the maintenance system you already use.

The challenge

When the records
and the work drift apart.

A dashboard cannot compensate for missing equipment references or work orders that close without evidence. We focus on the records and handovers that make maintenance planning, inspection follow-up and management reporting dependable.

Typical starting points

01The same asset has different identifiers across reports and systems.

02Completed jobs lack the evidence or history needed by the asset team.

03Backlog reports mix duplicate, unresolved and already completed actions.

The work

A defined route through
your scope.

01

Agree the source and ownership

Define which register is authoritative, the fields required for the assignment and who can approve changes. Establish the controlled method for exchanging information.

02

Reconcile the records

Map asset references, findings and work orders. Identify duplicates, missing values, inconsistent status and evidence gaps for review by the data owner.

03

Prepare validated updates

Create the agreed mapping, change log and exception list. Prepare a reviewed export or handover package in the client’s accepted format.

04

Verify acceptance and maintain the rhythm

Reconcile what was accepted into the maintenance system and what remains open. Agree the update cadence and responsibilities for ongoing data quality.

What you receive

Outputs your team
can put to work.

The final deliverable set and acceptance requirements are agreed for your assignment.

01 / DELIVERABLE

Data quality findings

A prioritised record of gaps, duplicate identifiers, inconsistent status and missing evidence.

02 / DELIVERABLE

Mapping and ownership rules

Agreed asset references, required fields, source ownership and approval responsibilities.

03 / DELIVERABLE

Validated handover package

Reviewed updates, exceptions and a change log in the agreed client format.

04 / DELIVERABLE

Acceptance reconciliation

A record of accepted updates, unresolved exceptions and the next actions for the data owner.

From finding to evidence

Illustrative workflow · not a client case
01

Finding

A completed maintenance action still appears open because the report and work order use different asset references.

02

Agreed action

Resolve the reference with the data owner and prepare a reviewed status and evidence update.

03

Closure evidence

Accepted mapping, change log and reconciliation with the maintenance-system record.

Clear responsibilities

Agree the roles
before the work.

SAP, Maximo, Ultimo or other client systems can be part of the working context. Access, mapping and import responsibilities are agreed separately. The public website does not connect to a CMMS, accept asset files or provide an automatic integration.

How owner decisions are built in

Scope questions

Before we start.

Do we need a new maintenance system?

No. The starting point is the client’s existing system and its data ownership rules. We agree the records and handovers needed to support the scope.

Is the handover an automated integration?

Not by default. A validated export or controlled update may be the appropriate first step. Any automation requires a separate agreement on access, security, ownership and acceptance.

Who approves changes to our records?

The client retains authority over its asset data. The assignment identifies who proposes, reviews, imports and accepts each update.
